Scope
The questionnaire covers questions on the Functional Reliability, Maintainability and Maintenance Supportability of the mechanical equipment.
Aim
The aim is that together with the machine supplier establish a specification for the mechanical equipment of the machine.
By working in this way we want to take advantage of the supplier’s and the purchaser’s knowledge and experience, permit a dialogue on technical development, and come to an agreement on a solution with high personal safety and operational reliability.
Application
The questionnaire shall be filled in by the supplier and returned together with the offer.
The questionnaire must have been approved by the purchaser and the supplier before any purchase.
Any additions or changes shall be approved by the purchaser and supplier.

3 External environmental requirements
3.1 General Demands
All projects (big/small) and activities with environmental impact on
air, water, waste etc.
Before purchase and/or manufacturing the equipment/system, the
design has to be checked and approved by Aurobay/VCPC
according to following issues of environment.
New installations and buildings: Emissions, liquids, gases,
explosives, metalworking machinery residuals, sprays booths, fuel
distribution systems, presses, new factory outside noise levels, etc.
must be prevented in such a way so these cannot leak or cause any
damages on surrounding environment.
The equipment shall be designed for low electrical and media
consumption, by designing with low energy components, motors,
lamps, etc., and even reducing idling losses when equipment is not
running (breaks, starving and blocking ) e.g. shutting off motors,
coolant, water, hydraulics, air, etc.
The energy, media consumption, weight and volume of the
equipment shall be specified by the supplier in Contractual Appendix
E “Questionnaire Media”.
Different energy and media types are listed in Contractual Appendix
E “Questionnaire Media”.
Energy and media consumption shall specified in each production
mode where it is possible (production/starved and blocked/non-
production).
Contractual Appendix E “Questionnaire Media” shall be handed over
to Aurobay/VCPC after finishing the design and not later than 2
weeks after completed design review.
Test method
Energy and media consumption will be checked and verified versus
the one given by the supplier in Contractual Appendix E
“Questionnaire Media”.

Design review
4.2.8.1
Before manufacturing
Before manufacturing starts or purchase from sub-suppliers is done,
Aurobay/VCPC has to be given the opportunity to perform a design
review. For hardware design all design drawings, electrical
drawings, safety documentation and parts lists, must be delivered to
Aurobay/VCPC.
For software design all design documents such as PLC, HMI, Robot
and safety templates, must be delivered to Aurobay/VCPC.
Manufacturing and purchase must not start prior to this review is
carried out by Aurobay/VCPC and for this a minimum of two
working weeks are needed. Gradually as drawings and schemes are
completed, these must be forwarded to Aurobay/VCPC.
NB: This review does not mean any kind of taking over of the
warranty or responsibility.
4.2.8.2
Changes
Aurobay/VCPC has to be given the opportunity to express its
viewpoints prior the supplier makes any changes to the
specifications in relation to earlier agreed design. Where very urgent
changes are concerned, which do not influence product quality, the
equipment layout, connections to media or interface to superior
control system, the Aurobay/VCPC viewpoints may be obtained
verbally and confirmed in writing.
4.3 Quality requirements
4.3.1
Measurable characteristics with tolerance limit
4.3.1.1
Demands
The corrected machine capability index Cmk must not be less than
2,0.
The requirement is applicable to all produced characteristics and
Aurobay/VCPC reserves the right to decide which properties that is
to be tested.
4.3.1.2
Test method
Cmk is determined on 50 consecutively produced parts if no other
agreement has been made.
The equipment must work inside specified cycle time during the
test.
Unless otherwise stated Cmk is the difference between the mean
value and the nearest tolerance limit divided by half the spread 3s.

The demands in paragraph 4.3.2.1 is checked visually and/ or if
necessary measured in an appropriate way.
Process alarms /monitoring functions:
All alarm and monitoring functions that are present must be tested
to verify their function.
The tests are made separate from the production run in paragraph
4.3.1 by creating the conditions that should trigger an alarm and
then check that the correct alarm is really triggered.
Examples:
*If there is an alarm that should react if a press force during an
assembly is too low some parts have to be manipulated to give too
low press force.
*If there is an alarm that should react if the wrong part number is
loaded the test is made by loading the wrong part and starting the
cycle.
*If there is an alarm that should react if the parts are not correctly
clamped during processing –then the clamping must be
manipulated for example with shims between the part and the
clamping points to simulate wrong alignment.
The detailed function and testing procedure for these alarms should
be described more in detail in the "Functional description" and
"Functional test". See chapter Functional description in this
document.
4.3.2.3
Test occasions
The test is carried out two times –in the Test before shipment and in
the Taking-over test after installation at the Aurobay/VCPC plant.
Approved results must be achieved before Shipment and Taking
over can take place.
4.4 Questionnaires
4.4.1
The purpose of the questionnaires
The questionnaires aim to take care of the mutual knowledge and
experience of the supplier and Aurobay/VCPC.
They also create a possibility for a dialogue about technical
development in order to reach an optimal pricing, safe and reliable
solution.
Completed and approved questionnaires are part of the contract.

4.5.2
Realizing
The Functional description is to be jointly reviewed by the supplier
and Aurobay/VCPC and to be approved by both parties
Prior to purchase
The review is done jointly to reach the purpose of the Functional
description and avoid misunderstandings.
During design

Functional test and Verification
Before shipment the supplier must perform a Functional test.
The supplier must provide Aurobay/VCPC with a protocol with the
result from the test prior acceptance for shipment.
Aurobay/VCPC will provide the supplier with a Functional test
document, based on the Functional description. The Functional test
document will be available to the supplier approximately 2 weeks
before the test.
Aurobay/VCPC reserves the right to verify the suppliers test with our
own test team before shipment.
The supplier must approve to the test procedure and the equipment
must be ready for a Functional verification before the arrival of
Aurobay/VCPC personnel.
The supplier is responsible for the equipment during the verification.
4.6 Project Manuals
The aim with project manuals is to support and guide both
Aurobay/VCPC and machine suppliers, resulting in uniformed
reliable technical solutions, streamlined procurement, effective
maintenance and reduced warehousing.
The products and concepts described in the Project Manual are
intended to cover requirements in Aurobay/VCPC plants and must
be used to the greatest possible extent. If any deviations from the
Project Manuals becomes necessary, the required deviation must be
clarified with the Aurobay/VCPC responsible team.
Valid Project Manuals for procurements are defined in the RFQ,
section Appendix E. Detailed decisions that are made will be
documented in electrical and mechanical questionnaires.

4.8 Cyber Security
In order to protect the availability and integrity of systems such as
Information Technology (IT) systems and Operational Technology
(OT) systems in Aurobay/VCPC factory and manufacturing

5 Documentation
5.1 General demands
The objective is to put the right focus on documentation during the
project to avoid reworking at the end of the project, causing late
delivery of documentation. To maintain transparency all (preliminary
and final) documentation shall be shared through a Aurobay/VCPC
sharepoint (or equiavalent cloud service) during all project phases.
Aurobay/VCPC documentation must always be kept up to date.
In Sweden, all documentation, signs also, has to be in Swedish
unless another language is agreed upon. In China, all
documentation, signs also, has to be in English and Chinese unless
another language is agreed upon.
Identical details in the equipment must have the same
documentation ID regardless of station of installation.
Preliminary documentation should be delivered during all project
phases.
The deliveries should be clearly stated in the project time-plan.
Documentation, necessary to put the equipment into operation, has
to be supplied together with the equipment, even if the
documentation is not in its final state.
Complete final documentation has to reach Aurobay/VCPC no later
than by the acceptance test (Test before shipment) of the
equipment.
EC-Declaration of conformity together with the risk assessment
from the supplier's technical file must be sent to Volvo in
conjunction with the delivery of the equipment.
The supplier must provide Aurobay/VCPC with complete
documentation for the technical file prior to delivery of the
equipment in those cases and EC Declaration of Incorporation of
partly completed machinery is issued.
5.2 If Project contains Rebuild of existing equipment
The difference in the scope of supply for a rebuild equipment
compared to a new equipment is to describe the differences. There
is always a before and after. This shall be showed in a clear way for
each area. E.g. Changing a pneumatic cylinder could affect HMI
Pictures (Operators manual), Maintenance manual, Mechanical
drawings, Pneumatic schedule, Electric schedule, B.O.M, Safety
placard, CE documentation, time movement diagram and so on.
Drawings and components added or removed by vendor must be
showed. Removed drawings and components shall be presented for
example through the B.O.M (see 5.3.8). Carry over drawings from
Aurobay/VCPC equipment shall also be highlighted. Aurobay/VCPC

7 Delivery and installation
Delivery implies that all tests agreed upon have been carried out and
that Aurobay/VCPC has agreed delivery.
7.1 Delivery units
Measurements and weights of the units, in which the equipment will
be delivered, have to be forwarded to Aurobay/VCPC latest 2 weeks
before shipping.
7.2 Shipping
The order has to specify if the supplier or Aurobay/VCPC is
responsible for the transport. If this is not handled in contract
Appendix D.
7.3 Installation
Where work permits are necessary, the supplier has to, latest two
months prior to the start of the installation, issue information about
assembly personnel, category and number. The responsibility that
necessary work permits exist lies with the supplier.
Aurobay/VCPC has to be informed as which subcontractor(s) the
supplier intends to use and the supplier has to obtain approval from
Aurobay/VCPC to engage this/these.
At AZJK (Aurobay Zhangjiakou) the supplier should finish HSES
training and follow contractor safety process when working in the
plant.
At ASDE (Aurobay Skövde)/VCPC the supplier must secure that all

Aurobay/VCPC will provide the needed lifting devices and is
responsible for the connecting of the equipment to media.
The supplier has to provide a set out layout showing all necessary
measurements and the references which has to be marked on the
ground to position the machines. The measurements have to be set
according to the origin, provided by Aurobay/VCPC in the line/shop
layout.

8.1 R & M General
Aurobay/VCPC R&M general requirements are defined in the
Appendix E “Reliability and Maintainability”.
8.2 R&M KPI:s
Aurobay/VCPC has a general requirement on at least 98% technical
availability. This is verified during an 8 hours test run. The general
requirement can be increased by adding an equipment specific KPI
matrix in Contractual Appendix B
Aurobay/VCPC will point out max. 5 pcs equipment components to
test replace time. Supplier is generally demanded to recognize
component replace time for main components (spare parts)

8.3 Spare parts
The supplier must be able to deliver ordered spare parts for the
actual equipment before start of production.
A BOM (bill of material see 5.2.8) list with all machine parts
electrical and mechanical, is to be handed over to Aurobay/VCPC
after finishing the design and no later than 2 weeks after approved
design review.
This list should have information of which parts is recommended as
a spare or wear part.
This list should also include a quotation for recommended spare and
wear parts and expected delivery time.
Aurobay/VCPC will then be able to order spare/wear parts
made/ordered at the same time as the original part.

Context: 1. Introduction
This document describes Aurobay Sweden´s requirements and regulations for contractors and
suppliers performing work within Aurobay´s facilities.
Knowledge of the content of these requirements is part of a signed agreement between the
parties.
The client shall ensure that the information in this document is handed over to the site manager
and that the regulations and rules are complied with
The contractor/supplier (contractor as described below) must know the content prior to
commencing work.
The contractor's representative is responsible for communicating these requirements to relevant
managers, employees and subcontractors.
Engaged contractor and subcontractor is responsible to meet the requirements below and take
needed action.
2. General
Aurobay is responsible for coordinating work environment and environmental issues on site
unless otherwise agreed. Each contractor is responsible for its own staff and operations.
The work must be planned in consultation with Aurobay to avoid disruption of ongoing activities.
Contractors and temporary contractors may not bring in children, pets or private visitors onto
Aurobay´s sites. Own checks must always be performed by the contractor.
2.1 Training for contractors
Aurobay Sweden require that contractors that will perform risk works (see 2.1.1 below) shall
perform safety trainings within work environment to gain access to Aurobay´s areas. The training
consists of two parts, one general part where common work environment requirements are
presented and one part where local work environment requirements for Aurobay are presented.
When entering to Aurobay´s area the training requirements are controlled, if the training
requirements are not fulfilled the contractors can be denied access to the area. The safety
trainings are being perfomed via the training supplier SSG according to 2.1.2 below.
The person ordering the contractor work is responsible that the contractor is aware of the
requirement regarding the SSG-training.

Context: courses can be to the company’s employees. The persons registered by the company as
administrators can carry out this registration.
3. Everyone registered receives a course participant code so that they can log in to the SSG
website and complete the course. Both the SSG Entre Basic course and the local course
end with a certification or knowledge test.
4. The participant is approved when the tests are finished with an approved result. To get a
SSG Entry card the administrator of the company has to upload a photograph of the
participant to My SSG. The card is then printed and sent by post to the customer’s
registered address within about a week.
Note: The SSG Entry card will not work as an entry card to Aurobay´s areas. The
contractor will receive an Aurobay access card in the reception
The basic course will cost the contractor 900kr per employee (2022). The local course costs
nothing to complete. The basic course is the same for all companys connected to SSG. This
means that if an employee at the contractor has performed the basic course to get access to, for
example Volvo Trucks, it doesn´t need to be performed again to get access to Aurobay´s area, it
is then enough that the local course is performed (there is however a repetition requirement
every three years).
3. Work environment
3.1 Alcohol and other drugs
Aurobay promotes a safe, alcohol- and drug-free working place as part of combating illness.
Aurobay does not allow people under the influence of alcohol or drugs at work or at the
workplace.
Alcoholic beverages and drugs may not be brought into or stored at the workplace.
3.2 Work in conjunction with other activities
When the work is carried out near normal operations at Aurobay, it is important that there is an
agreement made on the rules and the activities in the workplace with the responsible
coordinator for the permanent establishment.
3.3 Work clothes and personal protective equipment
For work at Aurobay, special rules apply for work clothing and personal protective equipment.
Detailed information about clothing and protective equipment is obtained from the client.
Personal protective equipment must be used where necessary and the contractor must provide
it by himself.

Siemens-Aurobay Extranet
− Siemens-Aurobay Extranet provides the Aurobay Project manual and standard documents for Siemens
Transline. Downloading of the documents from the Extranet is possible as soon as access is granted.
Siemens Industry Online Support (SIOS) platform

The user first must register on the SIOS platform. The following link should be used to find the login and
register page: www.siemens.com/sfp-extranet/register/aurobay
Contract form
− After registering the user clicks again on the link above, logs in and presses the button
“Notify” for requesting access to the Siemens - Aurobay Extranet.
− A contract form will now be sent to the user by e-mail.
− The user completes the contract form and sends it to one of the persons listed for approval.
Approval
− The person who approves the application marks Aurobay confirmation and signs the contract form.
− The approver sends the contract form to Liliana Mitroi at Siemens. The contact information will be
found on the contract form.
Confirmation
− Siemens performs the registry and sends a confirmation to the user by e-mail.
Internal application
− If the application concerns a person at Aurobay, the above procedure must be followed as well.

Work environment demands
Work environment demands are described in Volvo Group Standards 8003,19 and 8003,29.

Test parts
The amount of test parts are XXX parts, and they are delivered to the supplier at XXX test period.
Test before shipment and taking-over test
The supplier is responsible to perform tests and verifications of that all equipment is according to agreements, specifications and design reviews. The supplier must present test protocol of performed verifications before ‘Test before shipment’.
Test before shipment and taking-over test will be conducted to verify that the equipment is according to agreements, specifications and design reviews.
The supplier shall specify in the quotation if there are any specific costs due to specified tests. In this case the cost shall be specified per test.

Time schedule
A time schedule must be provided from the supplier before order placement, showing the following activities for each operation / station.

Time Calculations and Process Description
The contractor must perform a time calculation by operation. Time calculation shall be enclosed with quotation.
The time calculation needs to follow the hole numbering from the hole chart for operations.
The contractor must in the quotation include a Process Description (preferably a flowchart) describing the products transformation and path through the quoted processes. The description shall include all activities and processes that will affect the product (e.g. transportation/handling, IT-communication, machining, assembly, SPC etc.). The purpose of this document is to clearly communicate how the quoted process is planned to work and the document should be updated if changes to the process occur during the project.
Cycle Time Diagram
For each automatic and semi-automatic station, a diagram showing the cycle time for the automated movement shall be included.
For semi-automatic stations, Aurobay will provide/or verify the total cycle time for the manual operations.
The supplier must consider this in the cycle time analyse.
Special Tools for Machine Adjustments and Maintenance
If there is need for any special tools (repair or analysis tools, hardware, or software) it shall be clearly specified by the supplier in quotation. If need for special tools is agreed with Aurobay/VCPC, they must be included and be delivered together with the equipment delivery.

Context: Guidelines for Quotation
Quotation description of content
The contractor must submit quotation and documents according to specifications in this Request for Quotation (RFQ). If, for some reason, the contractor supplied quotation must deviate from any specification in the RFQ the contractor should before submitting the quotation provide detail list of technical deviations and its reason, which should be confirmed by the buyer (Aurobay).
If the contractor has suggestions for better optimized process and then that specified in the RFQ which could result in improved quality, increased efficiency and increased flexibility or save investment and operation cost the contractor can provide these suggestions as individual quotations.
If supplier is not able to quote the complete inquiry, please contact Aurobay project leader for further discussions.
For each operation / station, a description how the equipment works and what components are included
The description shall be written in such a way, the function of the equipment is easy to understand.

Specification of prices
The price must be specified according to requirements in appendix A1.
The quotation can also contain options suggested by the supplier.
Price and validity for these have to be stated.
The service that can be supplied must be quoted in the form of type, time for appearance, cost per hour, service contract and what the supplier thinks may be of interest to Aurobay.
Price should be quoted for each operation/station.
Aurobay will consider the right to choose/group the different operations/stations into blocks for the supplier to quote in next quotation round.
For example:
Block 1 = Automatic operations / stations
Block 2 = Manual operations / stations
Scope of supply
Aurobay requests a quote for the equipment necessary to load/unload three new turning machines and two re-used grinding machines. There should not be any mechanical change-over between variants.
The parts will arrive to the gantry on a pallet-conveyor, sourced separately by Aurobay, 2D-layout of the complete line (without gantrys) included in Appendix B: “B3 Layout”.

Context: Chilled water:
Aurobay is responsible for the installation to one connecting point on the machine.
Aurobay are able to supply two different variants of chilled process water (depending on location and project), high temp and low temp chilled water for cooling of the machine, electrical cabinets, spindles etc.
In this project Aurobay will supply with temperature 30 degrees.
In this project Aurobay will supply with temperature 13 degrees.
Cooling of electrical cabinets should be done with low temp water. For other equipment if nothing else stated from Volvo, high temp water is preferred as cooling media.
All material in contact with the cooling water must be in stainless steel.
To avoid any corrosion in the system. Including a pre-filter on the incoming water and a shut-off valve for cleaning.

Gripping touching points
The supplier should create specific 3D models that shows all the process points where the equipment is touching the product. For example, gripping points, counter stay, press points etc.
One 3D model for each product.
The model should be created in suppliers original format and delivered in that format (for future changes) together with a “.jt” file.
Models should be stored in engine zero position
It should be easy to understand what process points that correspond to what operation / station and what equipment.
The different parts of the model should have the same shape as the physical part that touches the product (copy from already made design).
The models should contain a hierarchy allowing parts for a certain operation / station or equipment to be blanked and un-blanked.
If changes need to be done in existing documents/models describing gripping and touching points, the supplier is responsible to update with approval from Aurobay.
Capacity
Production time
The production will run in 3 shifts, 5 days per week but it must be able to run 7 days per week in 3 shifts.
The calculated production time for 3-shifts is 5000 hours per year.
Cycle time
The cycle time for load/unload in each operation must not exceed 10 seconds. A time study with a suitable detailed level to be included in quotation.
